BBIS GmbH/ is an independently run, state-approved, inclusive, English-medium day and boarding school serving the internationally-minded community of Germany’s capital region and beyond. We are the first International Baccalaureate (IB) World School to be fully authorized by the IB organization to teach all four IB programmes covering the 3 to 19 age range. In the current school year 2019/20 our school teaches about 750 students who represent more than 60 nationalities.

     Job Description      Your Profile
  • Organization of the management secretariat as well as active support and discharge of the managing director
  • Deadline coordination, planning and monitoring
  • Travel expense report
  • Budget control and auditing
  • Handling and processing of managing director correspondence
  • Creation of school and holiday calendars as well as maintenance and control of these for event planning and rental
  • Event organization: planning, preparation and follow-up of meetings, meetings and committees and participation in them on a case-by-case basis
  • Taking minutes at mostly English-speaking management meetings
  • Event Booking for different departments as well as organization and realization of additional major events
  • Host visitors
  • Contact and cooperation internally with directors, teachers, parents and students as well as external companies and other international schools
  • Preparation and evaluation of internal surveys and statistics for conceptual planning
  • Creation and editing of presentations, forms, process descriptions and manuals
  • Preparation of the spatial planning for the individual classes of the BBIS
  • Projects
  • Participation in ongoing discussion processes (structural issues, future perspectives, regular exchange with othe​r)
  • Commercial training or comparable qualification
  • Several years of professional experience as assistant to the management / secretary, ideally in an international environment
  • Experienced handling of MS Office applications and knowledge of G-Suite desirable
  • Very good written and spoken English skills
  • Loyalty as well as absolute discretion and a strong organizational talent
  • Friendly and competent appearance and ability to work in a team
  • Very structured and responsible, careful working method
  • Even in stressful situations you keep the overview
  • Strong analytical thinking and the willingness to familiarize yourself with new tasks
  • Initiative and flexibility
