BBIS Berlin Brandenburg International School is an independent, state-approved, English-language, all-day alternative school with an affiliated boarding school for the internationally oriented community in the capital region of Germany and beyond. As one of the world's leading International Baccalaureate (IB) schools, BBIS is proud to offer three IB programs for students aged 3 to 19. In the current school year 2023/24, approximately 875 students from more than 70 countries will be taught at our school.

Together with the School Director, the Business Director (f/m/d) represents the entire school internally and externally as the commercial managing director (f/m/d).

The Business Director (f/m/d) reports directly to the School Director (CEO) and must fulfill the objectives of the school's mission statement on the basis of the school statutes and the legal provisions for educational institutions in the state of Brandenburg.

Business Director (f/m/d) is committed to upholding the school's mission statement and ethos and the key principles of education practiced at the school. She/he/they will interact in an efficient, friendly, courteous and positive manner with all members of the school community - in particular students, parents and staff - and sees him/herself as an integral part of the school management.

The Business Director (f/m/d) is responsible for the management of the following departments/fields of work: Accounting (with bookkeeping, financing, purchasing), government relations and legal compliance, facility management (incl. real estate and project management), external vendors and outsourced services, reception and nursing.


Accounting (with bookkeeping, financing and purchasing)

Accounting includes ensuring the proper bookkeeping (general and subsidiary ledgers) of BBIS, invoicing, monitoring payment transactions, budgeting/planning, close cooperation with the auditors and tax consultants as well as the preparatory activities for the preparation of the annual financial statements. The Business Director (f/m/d) is also responsible for all financing, financial and cash flow planning and school-wide purchasing.

In detail this means:

  • Ensuring all legal and statutory requirements of a limited liability company
  • Organize and perform proper accounting including payment and reporting
  • Monthly business management evaluations including forecasts; preparation and analysis and adherence to plan
  • Establish annual financial and cash flow planning in consultation with the educational director and all school divisions
  • Preparation of long-term financial and cash flow planning (Long Range) to plan, manage and strategically align finances and all investments
  • Preparation of the annual financial statements incl. support of the auditors
  • Organization of calculation and collection of school fees
  • Monitoring and reduction of accounts receivable
  • Negotiate, enter into and monitor contracts and insurance for the school
  • Represent the school with government agencies, banks and other organizations in financial and tax matters

Facilities Management (with real estate)

Facility management includes the maintenance and upkeep of school buildings and grounds as well as security-related supply systems.

In detail this means:

  • Evaluation and further development of the strategic master plan for the entire school campus and the site on the Seeberg with approximately 35 hectares including the forest & woodland areas both in terms of urban development, school buildings, technology, utilities, transport and operation of BBIS on the Seeberg (school campus)
  • Follow up CAFM
  • Technical support and control of external companies and janitors internally
  • Responsible for Campus Security, Occupational Safety and Emergency Procedures
  • Supervision and control of the security service / follow-up and control of the emergency procedures with the pedagogical area
  • Control of the occupational health and safety topics and the occupational health and safety representatives
  • Contact and control of external companies for cleaning, school canteen and catering, bus services and for all other external companies on campus
  • Negotiate and obtain proper insurance coverage for school operations and property
  • Keeping track of insurances and building insurances
  • Renting and leasing
  • Contracting, utility billing, school contracts, land contracts, lock management
  • Ensure and comply with all health and safety requirements in the buildings and throughout the school grounds
  • Ensuring proper maintenance and renovations are carried out
  • Ensure proper cleaning, heating and perform other maintenance services for the school
  • Contract negotiations with catering companies as well as monitoring and ensuring good quality food in the school cafeteria
  • Securing and monitoring all required investments and purchases
  • Supervision of contracted service providers and external personnel
  • Organization and implementation of tenders

Real estate (as a component of facility management)

Property management includes the development and implementation of the long-term strategic orientation of the school buildings and the school campus in cooperation with the School Director and in consultation with the Supervisory Board.

In detail this means:

  • Project Development/ Campus Development/ Process Optimization
  • Master planning and development planning for the Seeberg school campus and education site, valuation
  • New construction and floor-by-floor conversion of listed buildings and facilities, management and owner representation for major renovations LP 1-9, space management, small projects
  • Budget preparation, controlling, project coordination with the pedagogical department, planning offices, authorities and the municipality of Kleinmachnow
  • Orientation of the overall development of BBIS towards a "Green Campus" with technologically innovative concepts, in particular with regard to regenerative energy supply for the reduction of CO2 and other environmental pollution up to a pioneering "Green Campus without Carbon Footprint"
  • Transportation concepts and campus logistics

Operational responsibilities vis-à-vis the Supervisory Board

The Business Director (f/m/d) attends all meetings of the Supervisory Board along with the School Director (CEO).
She/he/they informs the Supervisory Board about the financial, administrative, material and personnel aspects of planning, projects, resources and all legal matters.

In detail this means:

  • Caring for short and long-term financial planning
  • Preparation of short- and long-term plans for the further development of the facilities and the campus
  • Prepare and submit recommendations to the School Director (CEO) on matters requiring Board action
  • Prepare board templates that provide for the necessary and supporting facts, information, and reports required for decision making
  • Introduction of laws, policies, school regulations and other tasks assigned to it by the School Director (CEO)
  • Proper safeguarding of funds, finances and material assets of BBIS
  • Monitoring and implementation of budgetary procedures
  • Preparation and responsibility of the annual proposed school budget
  • Execution of all resolutions of the Supervisory Board

The Business Director (f/m/d) shall also perform such other duties as may be reasonably required from time to time within the general scope of the position.
